Challenge

The main concern was implementing a reliable and efficient system for managing guest check-ins and access control without a front desk. They needed a solution that could generate and communicate door codes, verify guest information, and ensure a seamless check-in process, all remotely.
 

Additionally, there was the concern of accommodating guests who might arrive unexpectedly after hours where there would be no front desk staff available. Without a front desk, it was crucial to have a system in place that allowed these guests to get access and enter their units immediately. Failure to accommodate such guests would result in lost bookings or revenue. 

Solution

Integrating with Akia from day one made the opening week a breeze. Once Akia was up and running, the team realized how fast and reliable it was in managing the initial influx of guests, from automatically generating and immediately sending over the door codes once the registration form was completed via text message for enhanced security.

Akia allowed seamless integration with Schlage, a smart lock system, enabling guests to enter their access code on a dial pad to unlock their doors. Once the Schlage locks were installed, Akia took care of the rest.

Staff could manage door codes and guest check-ins across properties on a single platform. With a quick glance at the dashboard, they can view upcoming arrivals, check who had submitted their registration cards, see room assignments, confirm balance due, verify guest identities, and confirm keycodes are sent on time. Then they can track who completed a particular task, and either automatically or manually send a reminder message.

Akia enabled The Angler Lodge to handle unexpected late arrivals, regardless of booking channel. Guests arriving at night or checking in during off-hours could receive their access codes within minutes, ensuring they could enter their units without delay. This capability prevented potential lost bookings if there was no staff at the property.
